Two Subscription Options, Three Deployment Choices

First, the bundled New Customer Offer consists of two subscription options:

  • Option 1 – 50 Users of Microsoft Dynamics 365 Plan 1 plus $12.50/user/month
  • Option 2 – 20 Users of Microsoft Dynamics 365 Plan 1 plus $12.50/user/month

In addition to the Subscription Options, there are three Deployment Packages:

  • Basic
  • Intermediate
  • Advanced

Foundation xRM Deployment Packages

Please see the matrix below to help you make your decision as to which deployment package to choose for your Foundation xRM deployment. Why three packages? Because we have found that not every institution that uses Foundation xRM is the same. Some clients prefer to start with a basic deployment that mostly leverages the standard features that come with Foundation xRM, plus a few customizations here and there. Others require much more control over the environment, and many more configurations and customizations, and still more fall somewhere in between. This is why we are offering three simple packages, depending on the needs of the organization. Project Management

Project Management by xRM consists of the creation of a project plan, plus a weekly written status report, and 1-hour weekly meeting for the expected four weeks of deployment in the Basic Package. Project Management also consists of internal xRM meetings with the configuration team to ensure that the project is proceeding on track, as well as any a clear communication channel between all parties. Project Management is a vital component of a smooth deployment. Allocated Hours:8

Requirements Gathering

In the Basic Deployment, requirements gathering consists of several interviews with key stakeholders to determine needs that may lead to configurations of forms and views, and dashboards and reports. In the Basic Deployment, it is presumed that most of the functionality presented in the default installed configuration of Foundation xRM is sufficient to meet the needs of the Advancement team, but inevitably there are at least some minor changes that need to be performed. The interviews will bear that out, as xRM will walk through the screens and views and collect specific requirements for configuration. Allocated Hours:6

Sitemap Modification

The navigation structure of Foundation xRM consists of Constituent Management and Fundraising Management at the highest levels, followed by various components under each of those headings. Some institutions would like a different set of tiles or icons or labels. This is called “SiteMap Modification.” xRM will simply spend a short amount of time with the stakeholders and will note any requested changes to the navigation and make them. Allocated Hours:1

System Settings Survey and Review

As part of the deployment process, xRM will supply the Customer with a short survey that confirms the system settings that should be entered. These are mainly formatting items, but also some control over the tracking of activities and other system-wide choices. Once the Customer completes the brief survey, the settings can be completed during deployment. Allocated Hours:2

Security Roles Assignment

The ability for users to see certain sets of data based on role is governed using the Microsoft Dynamics 365 security model. This consists of a configuration of roles, permissions, and permissions scope. In the Basic Deployment, one Business Unit is used for the entire organization and up to two new security roles will be configured to meet the security needs of the Customer. Allocated Hours:4

Forms and Views

Each entity in the system has a set of views by default. These views are rarely configured precisely as the Customer wishes them to be. Often, columns may be added or subtracted, re-ordered, and the data itself may need to be filtered differently. In addition, each entity has one form by default, but can have any number of different forms, which can be role-based, to show just the data that is necessary for a particular job function or role. Thus, the Basic Deployment package allows for up to 8 modified forms and 8 view modifications. (It should be understood that administrative training is included in all of our packages and view and form modification is covered in that training, so going forward, the organization will always be able to adjust for future changes.) Allocated Hours:8

Dashboards and Reports

Similar to forms and views above, we will be providing some dashboards by default as system dashboards, but almost every institution we have worked with, some custom dashboards are required. While there is some training that will be provided which will include dashboard creation, it’s good practice to get these useful items created quickly at deployment so users have just the data they are looking for in the ways in which they want to see it. The Basic package includes two additional custom dashboards and one Report Wizard or SQL Server Reporting Services (SSRS) report. Allocated Hours:6

End User Training

One of the most important aspects of your deployment will be end user training. This is important because the system is rather robust as configured, and it’s important for the users to understand that most efficient way in which to accomplish specific tasks. Because the system is quite flexible, there are a number of ways in which a user can accomplish what they need to do, but understanding best practices and shortcuts will help drive user adoption and make for a smooth deployment. All of the sessions are recorded and delivered as MP4 files for future reference. The Basic Deployment package includes 6 hours of recorded training. Allocated Hours:6

Success Portal

The Success Portal, found at http://success.xrm.com, is a learning resource that contains upwards of 400 videos to assist with the underlying platform that Foundation xRM is built upon, which is Microsoft Dynamics CRM. This is a free resource that we provide all of our customers, and it can be used for administrative training (for such things like forms and view customizations, workflows, etc.) as well as basic functions of the system like the Advanced Find query tool. As the administrator of your deployment, you will provide xRM with a list of users who need access, and xRM will supply credentials so users can get started learning right away.

Administrative Training

There are a number of administrative functions that are ongoing for anyone who is responsible for maintaining an instance of Foundation xRM. Some examples include user management, user permissions, forms and views configurations, email templates, document templates, occasional data import if required, dashboard modifications, workflow automations. All of these functions and more are covered in the Administrative Training. All of the sessions are recorded and delivered as MP4 files for future reference. The Basic Deployment package includes 4 hours of Administrative Training. Allocated Hours:4

Server Side Synchronization

Please note that Allocated Hours refers to the limit that xRM can use to perform the deliverable that is described. During the Requirements Gathering phase, the Customer is provided any discrepancies between the level of effort to meet the collected requirements and what is allocated, and the Custom can decide to use blocks of time to shore up with difference.

Server Side Synchronization

The best way to integrate email systems with Foundation xRM is using a feature called Server Side Synchronization, wherein the Foundation xRM server speaks directly with the Office365 server to synchronize records between them, such as emails, tasks, appointments and contacts. With this type of integration, it’s possible for the system to automatically associate an email with a known contact in Foundation xRM, so that all emails can be seen by everyone with permissions in the context under the Constituent profile. The best level of synchronization is between Foundation xRM and Office365, but Server Side Synchronization also supports email integration with other types of mail services as well. Allocated Hours: 2

Office365 SharePoint Integration

If your organization subscribes to Office365 by Microsoft, it’s relatively simple to integrate your Foundation xRM instance with SharePoint on Office365 for document management in context. By this we mean the ability to manage documents “under” a specific record in Foundation xRM, such as a Constituent, or even an Opportunity or Donation. This configuration is included in all of our deployment packages, although it does require an Office365 subscription. Allocated Hours: 3

Post GoLive Support

At any given time after deployment, it’s possible to obtain prepaid support from xRM for additional training, customizations, or integrations. Most Customers elect to purchase blocks of time that never expire under this program, however, all of our deployment choices, including the Intermediate Deployment, include some hours. These hours do not expire, and they are consumed in 30-minute increments. The Intermediate Deployment provides four hours of Post GoLive Support. Allocated Hours: 4

Business Process Flow

Both the Intermediate and Advanced Deployment packages include the configuration of what is known as the “Business Process Flow” in Microsoft Dynamics 365. This is a chevron-style series of stages and steps which can help to both guide users through a given process, as well as provide instance knowledge of where any given endeavor is at the moment. It’s mostly used on the Opportunity entity, but it can be configured to be used on any other entity, such as Gift Processing, if there is a specific series of stages and steps that need to be followed. It’s a completely configurable component, and while Administrative training covers the management of the Business Process Flow, it’s often desirable to create at least one flow at deployment. The Intermediate Deployment package includes one custom Business Process Flow on any series of entities in the system. Allocated Hours:3

Email Templates

For automated communicate, email templates in Foundation xRM provide a great deal of efficiency. It’s possible to configure email templates that pull data from various components in the system and populate the email (such as “Thank you very much for your donation of _______”). Although the creation and maintenance of email templates is covered in Administrative Training, the Intermediate Deployment package includes the creation of four email templates by xRM. Allocated Hours: 2
